How can I customize automatic email messages?

Synopsis
You wish to customize the email messages that are auto-generated through your system.

Solution
In order to start customizing your e-mail messages, go to Email ->Templates.  This area allows you to manage and modify custom email templates. The system will send a default message unless you customize one here. These messages will be sent in HTML and include your website banner.

PROCESS

  1. Select the message type you wish to customize from the pull down and hit the 'Add' button.
  2. Update your message as you wish, making sure that you do not alter any of the snippets or macros, i.e. {{s:webSiteLink}} or _Firstname_. These bits of code are populated by the system when an email is sent. Changing the snippets or macros will cause your messages to contain wrong or incomplete data. You may add new information, rephrase the wording of the default message, add an image, etc. to further personalize the emails for your event.
  3. Once you have finished, hit Add to save your changes.
  4. Once added, you can Preview, Delete, or Edit the message further from Email -> Templates  Be sure to run a registration or donation test to make sure your new automatic e-mail messages are generated correctly.

FOR  ALL EVENTS

The following can be customized:

  • Registration Welcome: This message is sent to participants after they register on your website via the Event Registration & Product Sales or Pledge Participant Registration page. Note: Custom Emails are not supported when using the Shopping Cart. A default message will be sent instead.
  • Registration Welcome Volunteer: This message is sent to volunteers when they register on your Volunteer Sign-up page.

  • Email Participant Invitation Notice: This message can be sent to individuals who are registered as part of a group or team. This message requests additional information for these participants, such as address. It is commonly used for golf foursomes.
     
  • Email Receipt: You can customize the email template when you use the resend receipts function. This is found by going to Reports->Orders, then under Actions click View.  At the top of the order detail page, click the Email Receipt button.
     
  • In-Kind Donation: Use this template to set up your own email message for In-Kind Donation success, Thank you page and corresponding email.

FOR PLEDGE EVENTS

The following can be customized:

  • Email Friends and Family: This template is used to customize the email message sent from a personal fundraising page by your participants to their friends and family to request support. This message explains the cause and sends readers to a fundraising page.
  • Email Friends and Family Team: This template is used to customize the email message sent from a team fundraising page by your participants to their friends and family to request support. This message explains the cause and sends readers to a fundraising page.
  • Donor Thank You: Use this template to customize the email thank you message to your Pledge donors. This message can be sent and/or updated by participants from their own Pledge Control Panel -> Review Donations -> Email Thank You
  • Email Notify Winner Prizes: Message sent to participants when they win a prize by reaching a specific goal.  Only applies if Prizes have been configured from Pledge-> Prizes.

FOR  DONATIONS SUBSCRIBERS

The following can be customized:

  • Gift Acknowledgement Message: This message is sent to the specified email address when a donation is made 'In Honor of' or 'In Memory of' an individual or organization.
